Important Information Before You Hire

Hall Bookings are managed by a local team of volunteers. Our booking system and email is not continuously monitored but we do aim to check all messages and get back to you within 48 hours or on the next working day.

Please read through all of the information below before making contact regarding a booking.

Whilst we would prefer you used the online booking system, if you are having problems with the system, or have an enquiry not covered below, please email and we will do our best to help you.

General Bookings

The Hall is let by the hour (except for larger events such as those over a weekend or commercial / government hires).

Booked time must include sufficient time to set up and clear away after the booking. Please be respectful of any bookings that occur just before or just after your own booking.

Emergency Exits

Please take note of the various emergency exits from the building and ensure those using the facilities are aware of their location: main entrance, kitchen, door adjacent to the stage (front right) and back of the stage (right hand side).

Warning – the emergency exit at the back of the stage is down a steep flight of steps.

Please ensure any activities or relocation of furniture in the hall do not restrict access to any of the emergency exits.

Licensing

The hall cannot be hired by anyone under the age of 18. Please refer to our full Terms and Conditions for comprehensive information. 

The Hall cannot be let after 11.30pm without prior agreement.

The Hall has a premises licence but some events (notably, all of those serving alcohol) will require the appropriate license to be obtained by the event staff.

It is the responsibility of the hirer to ensure that alcohol consumption/sale is legal.

Kitchen and Crockery

No charge is made for the use of the kitchen and crockery, however please be aware of what will be required for your use (e.g. please bring your own tea/coffee and milk), and ensure all used crockery has been washed and put away.

It is the responsibility of the hirer to ensure the kitchen is left in a clean and tidy state.

Tables, Chairs

The hire of the Hall includes the use of the various chairs and tables located throughout the hall and in storage areas. However, it is the responsibility of the hirer to ensure everything is returned tidily back where it was found and that tables have been wiped down clean, ready for the next users or the school use. 

We appreciate that since the hall is also used by the school, there may be times when a significant amount of chairs and tables need to relocated to allow space for the hired use. Please ensure sufficient time as been allowed for at the start and end of your booking to accommodate the relocation of hall furniture and equipment accordingly.

Please note, it is not the duty of the Hall Committee to move or deploy tables, chairs, furniture etc for a booking. It is for the hirer to arrange any help they might need from others for this task. 

WiFi

There is WiFi in the Hall for the use of clients and the login details can be found on the notice board inside the main hall. Terms and Conditions apply.

Cleaning

Hirers are responsible for cleaning the hall at the end of their session. It should be remembered that the hall is also regularly used by the primary school.

The community recycling bins are sited adjacent to the hall and will accept plastics, glass and general waste and should be used whenever possible.

Parking

There is very limited parking directly outside the hall on the wide pavement area for the use of hirers, but there is also the parking area just up the road on the right hand side next to the recycling point. Please be considerate if parking elsewhere in the Village.

Payment

Payment in full will be requested by emailed invoice after the booking. BACS transfers are the preferred method of payment.

First Aid boxes

Please note the Hall does not supply a first aid box. It is for the individual to ensure they have sufficient first aid supplies should they need them during their booking.

There is a community defibrillator mounted on the external wall to the left of the main hall door. 

Public Liability Insurance

Braco Village Hall has a Public Liability Insurance which covers clients; exceptions apply. This is exhibited on notice board in the hall and all clients should check that they are sufficiently covered by this.

Clients running classes “For Profit” should have their own Public Liability Insurance in place.

ALL HIRERS MUST ENSURE THAT THEY HAVE READ AND WILL ABIDE BY THE TERMS & CONDITIONS OF HIRE AND ARE AWARE OF THE FIRE PROCEDURE AND OTHER POLICIES.
